Arts & Letters ListServ Policy

Managing ListServ Lists

Send a message to listserv@listserv.nd.edu.

Make sure that messages sent to this address do not have a signature. The complete body of the message is interpreted as commands so should contain only the text as shown in the examples below.

ADD a subscriber to a list: ADD <listname> <email address> <Real Name>

Example: ADD AL-DEPT Doe.1@nd.edu John Doe

DELETE a subscriber from a list: DELETE <listname> <email address>

Example: DELETE AL-DEPT Doe.1@nd.edu

REVIEW a list: REVIEW <listname>

Example: REVIEW AL-DEPT

APPROVE a submission to a list: Reply to message with only the word OK in the body of the message or click on the link provided in the approval e-mail.

POSTING a message to a list: Send a message to <listname>@listserv.nd.edu

All departmental lists are configured similarly, as follows:

  • Only a list owner can add or delete members
  • Messages sent to the list are forwarded to the list editors to review and approve for posting. This approval process is done by simply REPLYING to the message and typing OK in the body of the message, then click SEND
  • REVIEWs can only be performed by an owner.

Attachments and ListServ Lists

By ALCO policy, attachments cannot be sent via any ListServ list. This poses a security risk for viruses. Attachments should be either posted on a web page and referred to in the message, or enclosed as text in the body of the message. To distribute a file, follow these steps:

  1. Place the file in a distribution folder in a web space. While it could go directly into the ‘www’ folder of your NetFIle space, it is recommended that you create a sub-folder for file distribution.
  2. In the email that you send place a link to the file. This link can typically be clicked on right in the email reader and the user’s web browser will be launched and directed to the file, which will then download.

**** NOTE ****
Make sure that any file you make available for download in your distribution space is virus free!!!

Here is the email I would send to inform people of the file’s location:

Dear Friends,

Please download the latest version of the performance review, which can be obtained at this location:

Thank you
